We built the operating system behind YouthCareTech: a multi-tenant platform for agencies to manage youth services, delivery operations, and participant engagement in one system.

The situation

YouthCareTech was building a service platform for organizations that deliver youth support across highly regulated and operationally complex environments. The product needed to serve three different audiences at once: agencies managing the business of service delivery, frontline teams coordinating day-to-day care, and young people who needed a clear and supportive experience.

The problem was not simply a lack of marketing. It was fragmentation across the operating model. Agencies needed a clear view across sites, cohorts, direct services, curriculum, assessments, and reporting. Direct services needed a useful picture of each young person's goals and history, while youth participants needed a space that felt like their own.

The product needed to bring those layers together without flattening their differences. The solution had to be rigorous enough for agencies to run the business, practical enough for frontline staff to execute in real time, and understandable enough for youth participants to engage with confidence.

What we did

We built the product foundation behind YouthCareTech as a multi-tenant platform for youth service organizations. The system was designed as a connected operating model with three portals, each built for a different role in the service journey.

Agency portal

The agency portal was the operational control layer for program administrators. It gave agencies a real-time picture across sites, cohorts, and direct services, with the tools to keep curriculum, assessments, and reporting moving.

Key functions included:

  • managing youth, direct services, and sites from one roster
  • assigning direct services and tracking caseloads automatically
  • building and assigning curriculum and custom assessments
  • customizing assessments, registration forms, direct service forms, and youth forms
  • asking questions of program-wide data with AI-assisted analysis
  • controlling accounts, access, and password resets securely

This gave agencies the tools to run programs without relying on spreadsheet-heavy coordination.

Direct service portal

The direct service portal was built for the people guiding youth day to day. It centered the relationship between a direct service provider and the young person they are supporting.

Key functions included:

  • viewing an individual caseload and each youth's progress at a glance
  • turning assessment results into SMART goals with AI-assisted support
  • tracking progress across life-skill areas over time
  • logging meeting notes and session history in one thread
  • maintaining a shared vision board between sessions
  • staying in contact with youth through messaging

This created a practical workflow for direct service teams to deliver personalized support while keeping the young person's goals and history in view.

Youth portal

The youth portal was designed as a personal space for growth, reflection, and progress. It gave young people a way to understand their goals and participate in the plan with support from their direct service provider.

Key functions included:

  • setting and tracking personal goals with support from a direct service
  • completing self-assessments at their own pace
  • building a vision board for what is ahead
  • accessing assigned curriculum and learning resources
  • staying connected with their direct service in one place
  • creating practice interview questions

This gave youth a sense of ownership over the process while keeping the direct service relationship at the center.

The outcome

The outcome was a connected platform that helped agencies run programs with less spreadsheet juggling. Agencies gained a shared view across the program, direct services gained the context and tools to guide each young person, and youth participants gained a personal space to set goals, complete assessments, and see where they are headed.

The product became more than a branded front end. It became the infrastructure behind the business: a platform that could support multiple service programs, multiple partner organizations, and multiple user groups without losing operational clarity or user trust.
