We created a custom CRM and operating platform for organizations that sell products and services, connecting customer management, sales, engineering, and back-office operations.

The situation

AirGap Labs needed more than a conventional CRM. Organizations that sell products and services move through a chain of connected work: finding and developing opportunities, preparing quotes, coordinating engineers, delivering the work, invoicing customers, and collecting payment.

Those responsibilities often live in separate systems and separate views of the business. Sales needs a clear funnel and customer context. Engineers need to manage time and understand their relationships with customers. Back-office teams need reliable visibility into invoices, aging, and collections.

The product needed to bring those operating views together without forcing every role into the same interface.

What we did

We created a custom CRM with four connected portals, each designed around a distinct operating role while sharing the same underlying customer and business context.

CRM

The CRM is the system of record for customer and sales activity. It gives teams a structured way to manage the commercial journey from first opportunity through quote and close.

Core functions include:

  • managing customer records and relationships
  • creating and tracking opportunities
  • preparing and managing quotes
  • viewing the sales funnel across stages
  • keeping customer and opportunity context together

This gives sales and leadership a consistent view of what is being pursued, what has been quoted, and where work stands in the funnel.

Sales portal

The sales portal gives salespeople a focused workspace for managing performance and customer conversations. Instead of making a salesperson navigate the entire CRM, it brings the information most relevant to the role into one view.

The portal includes:

  • salesperson KPI views
  • customer metrics
  • access to sales collateral
  • a practical connection between individual activity, customer context, and funnel progress

The result is a sales workspace that supports both daily execution and a clearer understanding of the business behind each opportunity.

Engineer portal

The engineer portal is built around the operational work that follows a sale. It gives engineers tools for managing their time and a graphical view of the relationships connecting customers and engineers.

The portal includes:

  • engineer KPI views
  • time management tools
  • graphical relationships between customers and engineers
  • a clearer view of how engineering activity connects to customer work

This helps technical teams manage their own work while giving the wider organization more context about delivery capacity and customer relationships.

Back-office portal

The back-office portal gives finance and operations teams a working view of revenue administration and cash collection. It brings sales and invoice information together so teams can follow the movement from commercial activity to payment.

The portal includes:

  • sales dashboards
  • invoice dashboards
  • aging reports
  • cash collection reports

This creates a more direct operational view of what has been sold, what has been invoiced, what is aging, and where collection work needs attention.

The platform behind the work

We used n8n, Supabase, and Claude to build the CRM and connect its workflows.

Supabase provides the application data foundation and shared context across the portals. n8n supports workflow automation and the movement of information between operational steps. Claude supports the development process and the product's intelligent work patterns where appropriate.

Together, these tools made it possible to build a connected platform while keeping the system adaptable as sales, engineering, and back-office workflows evolve.

The outcome

The result is a custom operating platform for organizations that sell products and services. Sales teams can manage customers, opportunities, quotes, and funnel activity. Salespeople have focused performance and collateral views. Engineers have KPI and time-management tools with a graphical relationship model. Back-office teams have dashboards and reports for invoices, aging, and cash collection.

Rather than treating CRM, delivery, and finance as separate applications, the platform gives each role a purpose-built portal connected to the same business context.
